JOB DESCRIPTION
EXECUTIVE DIRECTOR - MEMPHIS DENTAL SOCIETY & MID-SOUTH MISSION OF MERCY COORDINATOR

OVERVIEW

The Memphis Dental Society (MDS) is a professional organization dedicated to supporting dentists in their commitment to improve the dental health of the community. A local component of the Tennessee Dental Association, MDS serves approximately 300 member dentists in Fayette and Shelby counties. The Executive Director manages the operations of the executive office of the Society and reports to the MDS Board of Directors. The Executive Director serves as the Mid-South Mission of Mercy (MidMOM) Coordinator, an annual, two-day, charitable, dental clinic for underserved patients in the Memphis area.

RESPONSIBILITIES

Governance

· Communicate information necessary for the board to make informed decisions.

· Coordinate and attend meetings of the Board of Directors and committees. Prepare agendas, reports, and draft minutes as needed or directed. Create an action item list.

· Follow up with the volunteers responsible for action items and provide administrative assistance in accomplishing those tasks on time.

Financial

· Work with the board/budget committee to create an annual budget.

· Provide the board with regular financial statements which accurately reflect the financial condition of the organization.

· Operate the society within the approved budget and maintain the organization in a positive financial position.

· Recruit sponsors and other fundraising necessary to support the mission of the society.

· Reconcile the bank statements, make deposits on behalf of society, prepare checks for prepare checks for timely payments for society.

· Provide CPA with financial information to prepare tax return (Form 990) and audit/review/compilation reports if required by the society.

Membership Recruitment & Retention

· Coordinate with the state association staff to follow-up on membership dues.

· Report membership metrics to the society board of directors.

· Seek to implement new ways of recruiting, engaging, and retaining members.

MDS Meetings & Events

· Coordinate with appropriate leadership to develop a schedule of continuing education programs and other member events.

· Assist with arrangements for speakers.

· Secure venues for in-person meetings & events. Set up and host virtual meetings.

· Responsible onsite management of meetings and events.

Publications & Communications

· Create and distribute newsletter or other member communication.

· Create and distribute registration materials for events.

· Maintain the website with up-to-date information about the Society.

Mid-South Mission of Mercy Event Coordinator

· Manage the calendar associated with event.

· Assist with fundraising, grant-writing and donor relations.

· Manage social media accounts for MidMOM.

· Work with the MidMom clinic director, fundraising chairman, and CEO to coordinate volunteers and supplies.

· Be present at the two-day clinic event held the last Friday/Saturday of January annually and at promotional events prior to the clinic.

· Connect with Bellevue Baptist Church team for facility management and volunteer communication for the clinic.

· Provide CPA with financial information to prepare tax return (Form 990) and audit or review reports for the MDS Charitable Fund.

General/Other

· Responsible for effective administration of daily operations of the Society.

· Responsible for reviewing and obtaining appropriate signatures on all contracts and/or agreements on behalf of the organization.

· Responsible for reviewing and timely submission all local, state, and federal filings.

QUALIFICATIONS

· Bachelor’s Degree or equivalent experience.

· Association management or non-profit management experience a plus.

· Transparent and high integrity leadership.

· Budget management skills, including budget preparation, analysis, and reporting.

· Ability to collaborate with members and volunteer leaders.

· Strong written and oral communication skills.

· Detailed oriented with excellent organizational skills.

· Motivated, self-starter able to work alone and achieve goals without direct supervision.

· Ability to attend some evening meetings.

· Working knowledge of Microsoft Office Suite, Zoom, QuickBooks. [may vary]

DETAILS

· 20 -32 hour per week schedule.

· No relocation assistance.

· Salary - Commensurate with experience.
